Understand how resource booking works.
In the Resource Booking System (RBS), a resource is something that a user can make a booking for. Depending on your agency, this can include meeting rooms, tennis courts, office equipment, and more.
Making a booking with RBS is easy:
Select the type of resource you want to book
Enter the date and select Search. You can choose to fill out or ignore the other fields.
Select a suitable resource from the results list, select Book, and complete the form.
Resources you can make bookings for
The resources that are available for booking in RBS depend on:
your agency and agency admins Agency admins decide which resources should be available for booking in RBS. This means they can choose to create 9 meeting rooms in RBS, even if your office actually has 10 meeting rooms.
the permissions you have As a user, you may have restricted permissions that prevent you from booking selected resources. For example, if you’re a temporary employee, you may only be allowed to make bookings for resources at a specific level or location.
If a resource has not been created by your agency admin in RBS, the resource will not show up in RBS at all.
If a resource is in RBS, but you do not have the permissions to make a booking for it, you will not see the resource. A resource will be shown as not available
if someone else has made a booking for the resource at your selected date and time.
If you believe there’s a mistake with your resource booking permissions, contact your agency admin.
Finding suitable resources
Using filters may help you to find more suitable resources. Generally, filters will be helpful if your agency has many resources, or if you have very specific needs.
You can apply filters on the search results page, either from the fields below the top navigation bar or the fields on the side.
The filters you’ll see will depend on the resource. For example, if you’re making a booking for Office Equipment
, you will not see filters such as capacity, additional services, and booking usage.
Filter | Description |
---|---|
Location | Are you looking for a resource at a specific location? This filter will be helpful if your agency has multiple office buildings. You may also be able to select a specific floor in the building. |
Capacity | How many people are you hosting? Use this filter to make sure you’re booking a room that’s comfortable for your group. |
Resource subtype | Are you looking for a specific resource? For example, Event Spaces or Courtesy Call Rooms? Depending on how your agency’s resources are organised, this filter may be able to help you narrow down the search results. |
Built-in amenities | Are there specific features that you need? For example, a projector or whiteboard? Select them to show only resources with these amenities. Do note that this depends on your agency. Not all agencies will have a full list of built-in amenities for each resource. |
Additional services | Are there additional services that you need? For example, if you select Beverages, the results will show all resources where you can request for beverages as an additional service. Do note that this depends on your agency. Not all agencies offer additional services alongside resource bookings. |
Booking usage | Do you have a specific purpose for your booking? For example, a workshop or event? Select it to show suitable resources with matching booking usage. Do note that this depends on your agency. Not all agencies need you to state your booking usage. |
