If you’re making a booking for a Room
resource, you may be able to select a layout. This depends on your agency and the resource.
Here are some examples of common layouts:
Auditorium
Boardroom
Cluster
U-Shaped
Each resource has a default layout. This is the usual layout the room will be in. If you select a different layout, there’ll be a setup and teardown time.
The setup time is the amount of time that’s needed to change the room from the default layout to your selected layout. This happens before your booking starts.
The teardown time is the amount of time that’s needed to change the room from your selected layout back to the default layout. This happens after your booking ends.
If you select a layout while filling out the booking form, RBS automatically checks the availability of the resource again. This is to make sure that there’s enough time for facilities management to set up and tear down the layout.
For example, if you make a booking for:
In this case, RBS checks for the availability of the resource from 9:30am to 3:30pm. This is to include:
30 minutes of setup time before your booking
30 minutes of teardown time after your booking
You will not be able to continue with the booking if the resource is available from 10am to 3pm, but not available from:
9:30am to 10am, or
3pm to 3:30pm.
If this happens, you may wish to consider using the default layout or selecting a different booking time.
